What quote preparation cost means

Quote preparation cost is the estimated labor spent creating and reviewing sales quotations — drafting, pricing, assembly, and active approval or review. It is useful for sales, technical sales, services, back-office, and B2B estimating teams. It is not limited to construction or manufacturing.

Where quote preparation time goes

Time often goes into gathering requirements, selecting products or services, calculating prices, writing terms, coordinating reviewers, and assembling the final document. Recurring work without templates multiplies that effort.

Preparation versus review and approval work

Preparation is active drafting and pricing. Approval effort is active review time by approvers. Elapsed waiting from submission to approval is different — it affects cycle time but is not automatically treated as labor cost here.

Why unsuccessful quotes still consume labor

Every prepared quote consumes preparation (and often approval) effort whether or not it becomes an order. This tool reports labor invested in unsuccessful quotes as estimated labor associated with quotes that did not win — not as financial loss or wasted money.

Calculation methodology

The engine annualizes quote volume, multiplies preparation minutes and people, optionally adds approval person-minutes, then converts to hours and estimated labor cost. Win rate splits labor between won and unsuccessful quotes for discussion.

  • Annual quotes = monthly count × 12, or yearly count as entered
  • Annual preparation hours = (quotes × preparation minutes × people) ÷ 60
  • Annual approval hours = (quotes × approval minutes × approvers) ÷ 60 when approval fields are supplied together
  • Labor invested in unsuccessful quotes = annual quote labor cost × (1 − win rate)

Cost per quote

Cost per quote is total annual quote labor cost divided by annual quote count. It is an estimated labor unit cost for process discussion.

Approval waiting versus active approval time

Active approval minutes are monetized as labor when you enter them. Optional waiting hours are reported as elapsed time only and are never monetized automatically.

Ways to reduce quote preparation workload

Templates, master data, clearer ownership, approval thresholds, earlier qualification, and lightweight preliminary estimates are common levers. Detailed scenarios simulate shorter preparation or approval effort — estimated reduction, not ROI.

Simulation limitations

Results depend on your inputs. The calculator does not claim that unsuccessful quotes are wasted money, that automation savings are guaranteed, or that a higher win rate is caused by quote automation.
